Volunteer Coordinator and Operations Associate
Salary Range: $20-22/hour
Position Overview:
The mission of Madison International Partners (MIP) is to help global citizens in the Madison area thrive through hospitality, friendship, education, and cross-cultural exchanges. We seek to provide international students, visiting scholars, immigrants, refugees, and their families with a sense of welcome and belonging in the Madison area. MIP provides services and programs which build cross-cultural friendships and help the international community in the Madison area.
Madison International Partners is seeking a highly organized, detail-oriented, proactive, people-focused and mission-driven Volunteer Coordinator & Operations Associate to support the planning, execution, and continuous improvement of our programs and operations. This role is central to ensuring effective volunteer engagement while also providing operational and administrative support across programs. The ideal candidate will help coordinate the organization’s volunteer body; assist in running the day-to-day activities and programs; maintain MIP’s website; manage MIP’s social media profiles; design and print digital graphics; and produce and edit short videos for social media.
The Volunteer Coordinator & Operations Associate will work alongside the Executive Director, other staff, and a team of dedicated volunteers to advance the mission of the organization in a way that has a long-term impact on people served.
Accountability:
• This part-time position of approximately 20 to 25 hours a week reports directly to the Executive Director. The Volunteer Coordinator & Operations Associate must be able to complete tasks in a timely manner; attend scheduled meetings, programs and activities; and inform the Executive Director of any scheduling conflicts in advance.
• The candidate must be available to work Friday evenings and occasional Saturdays when programs and activities are scheduled.
• This position offers the possibility of working from remotely on some tasks and flexibility of hours other than scheduled programs, activities and meetings.
Duties and Responsibilities:
Volunteer Coordination
• Help with the recruitment, engagement, and retention of volunteers.
• Serve as the primary point of contact for volunteers, fostering positive relationships and engagement.
• Coordinate volunteer schedules, assignments, and communications.
• Process, organize, and maintain the volunteer database.
• Maintain accurate volunteer records, hours tracking, and compliance documentation.
• Help develop and implement volunteer recognition and appreciation initiatives.
• Gather feedback from volunteers and contribute to continuous improvement efforts.
Program & Operations Support
• Support MIP’s day-to-day operation needs, programs, and activities.
• Assist in planning, coordinating, and executing organizational programs and initiatives.
• Provide administrative and logistical support for events and program activities.
• Track program metrics and assist with monitoring outcomes and impact.
• Assist with record keeping and reporting including financial information, activities, and events conducted.
• Draft internal and external communications relating to volunteers and programs.
• Work closely with the Executive Director to increase the overall visibility of MIP.
• Take a lead role in managing social media platforms, including Twitter, Facebook, and Instagram, by creating engaging content.
• Grow online social networks by increasing interactions with MIP participants, local organizations, groups, and individuals who might be interested in MIP’s work.
• Manage MIP’s website including updating current content and posting new content.
• Take pictures and videos of programs, volunteers, and day-to-day activities to be developed into content for the website, newsletter, or social media platforms.
• Update existing or develop new marketing materials such as brochures and pamphlets, to promote the organization’s mission and services to potential donors.
• Assist with the publication of MIP’s quarterly newsletter.
• Attend weekly Friday evening program and occasional Saturday programs and activities.
• Any other duties as assigned by the Executive Director.
Qualifications and Abilities:
• A bachelor’s degree is desired.
• Transparent and high integrity leadership.
• Experience in nonprofit organization work desired.
• Strong organizational abilities and attention to detail.
• Strong written and oral communication skills.
• Some knowledge of website maintenance or a proven ability to learn new technologies.
• Some experience in graphic design using Canva or other graphic design applications.
• Good understanding of the internet and social media marketing best practices.
• Ability to collaborate with diverse volunteer and donor groups.
• An interest in learning about global communities and the needs of internationals living in the Madison area.
• Genuine love and compassion for all people.
• A high-energy, self-motivated individual who enjoys building relationships and encouraging others.
• Some fluency in language(s) other than English is a plus but not required.
